THINGS YOU NEED TO KNOW BEFORE BOOKING

terms & conditions


‘Applicants’ is the term used for those clients wishing to hire a property, and ‘Tenant’ is the name given to those applicants who have taken up residency at a property. Any contract is between the Owners of the property and the Applicants or Tenants.

BOOKINGS

TELEPHONE or on-line reservations and Bookings made direct to Mettaford Farm will be held for 5 working days subject to the cottage being available for the date requested, pending receipt of one third of the total cost of the holiday, or £150 which ever is the greater, to accompany the booking.
Where total cost of the holiday is less than £150 (as Hartland Camping Barn) the total cost is payable at time of booking.

Our booking agents (Eviivo)require full payment at point of confirmation of booking via their booking service.

Direct to Mettaford Farm: Bookings can be accepted in writing or on-line via the owners official booking form. A deposit (as above) should be sent with the form. In the case of a booking made within 6 weeks of the commencement date of the holiday, the full amount should be sent.

Direct to Mettaford Farm: Final payment: once the booking form is received by the owners, the applicants are liable for the payments of the balance of the rent, plus any additional charges, 6 weeks before the holiday commences. The balance of the rental must be received by us no later than 5 weeks before your holiday starts. On receipt of the balance, full details of key collection arrangements and directions to the property will be sent.

Alternative tarrifs: these may be available for short notice bookings, short breaks and low occupancy options.

Last minute bookings: we will usually be able to arrange a last minute break, but normally only outside of school holidays. Please check website for details.

PAYMENT DIRECT TO METTAFORD FARM
1 Price alterations: The owners reserve the right to adjust prices quoted on our website or on details of properties due to errors, omissions or changes in VAT.

2. Methods of payment.
* Cheque made payable to: METTAFORD FARM
* payment via credit card/debit card on-line through our Pay-pal account.
We will invoice you. This will incur a £5 charge per payment/request for money.

3.Payment via Eviivo on-line booking service.

PETS: A charge of £25 per pet is payable (plus pet damage deposit of £25, all or part there-of, of damage deposit is refundable. Once we received your booking form and confirmed your booking, please make PET payment via our charging facilities.









DAMAGE DEPOSITS

These are required in the following circumstances and payment will be taken with the balance of the holiday.

• When a pet is allowed at the property.
• In the Camping Barn: where a booking is accepted for a group of single sex friends taking a holiday together the Owners reserve the right to take a £25 per person damage deposit. This will also apply where a booking for the Whole Barn is taken for a single night's rental.

In normal circumstances all damage deposits will be refunded within one month of the holiday, subject to any repairs or renewals.

METTAFORD FARM HOLIDAY COTTAGES is the operating name of the company, and its’ trading name is METTAFORD FARM.
HARTLAND CAMPING BARN operates within the METTAFORD FARM company.

The address of the company is: Mettaford Farm Holiday Cottages, Mettaford Farm, Hartland, Bideford, Devon, EX39 6AL.

The owners are Stephen and Susan Hilsdon.

VisitBritain - We observe the VisitBritain Code of Conduct and in the event of any complaint reserve the right to refer the matter to VisitBritain for arbitration. Our properties are inspected and graded annually by a VisitBritain assessor.
Stepping Stones - Hartland Camping Barn is assessed under this scheme.




CANCELLATION

Please check if you have Holiday Cancellation cover (credit card, annual premium, household) before contacting us to cancel your holiday.

Cancellation should be notified by telephone as soon as possible and confirmed in writing or by email within seven days of the event leading to a cancellation.

1. We may offer a full refund of rental less a £50 administration fee including VAT in the event of cancellation due to death, injury, illness, of any member of the party; or close relative, of the Applicant which may reasonably prevent the Applicant taking their holiday. The term close relative applies to Husband, Wife, Civil Partner, Father, Mother, Father in law, Mother in law, and Children. Cancellation terms do not cover pregnancy or any associated illness.
2. Any illness or injury, which in the opinion of the owner, is insufficiently serious to prevent the person taking up their holiday is not covered. Neither does our refund policy cover cancellations which arise where the Applicant at the time of booking was aware of any illness or medical condition, this also includes Applicants who at the time of booking were on a hospital waiting list awaiting an admission date.

Doctor’s certificates and supporting evidence need to be provided and sent to the Owners, when agreed, no further payments will be due and any previous rental payments refunded (less a £50 administration fee including VAT).
3. However when the cancellation is for a reason not covered by the terms outlined in 1. above, the booking deposit is forfeit, and the balance still required on the due date.
The owners will make every effort to re-let the property and where this is possible will refund the rental less the original deposit paid. If the booking was made less than eight weeks before the commencement date of the holiday then any refund made due to re-letting will be the total rental less one third. Any expenses that may arise due to re-letting may be charged at our discretion.
4. Terms of cancellation/refund policy terminate by 12 noon on the day prior to commencement of holiday.
Should you wish to have Cancellation cover for redundancy for example, please make your own arrangements for additional cover.

SIZE & PARTY

The number of persons stipulated for each property in the brochure must not be exceeded under any circumstances.
We normally class infants as being 2 years old or under. Cots are available for children within this age range: we cannot guarantee to supply a cot for a child of 30+ months, as such , the child will be included within the bed spaces for the cottage.

The person who completes the booking form or makes the booking on line certifies these details.

The signatory is authorised to agree to the booking conditions on behalf of all persons on the booking form or on line booking including any changes.
• The signatory must be over 18 years of age and a member of the party occupying the property.
• The signatory has agreed to take responsibility for the occupying party.
Eligibility - Bookings cannot be accepted from all male or all female parties, and where exceptions are made the Owners reserve the right to take a £25 per person damage deposit. Please see section below for damage deposit information.

Only those listed on the booking form may occupy the premises. Premises refers to gardens adjacent to property as well as property It’s’self.

The owner reserves the right to request any party member to leave the proprty and it's environs.






USE OF PERSONAL INFORMATION

Information given in the process of booking a holiday will be used solely for this purpose and will not be made available to third parties without your express permission, except where considered essential for the purposes of booking or managing your stay and future stays.
Our booking partners Eviivo will retain information pertinent to your stay.
If you DO NOT wish your information to be used by us for our in-house mailing or newsletters, please advise us at time of booking.





TENANT OBLIGATIONS

• Tenants agree to take reasonable care of the property and ensure that the property and all equipment is left clean and in good order.
• Tenants agree to pay for any losses or damages to the property (except reasonable wear and tear) unless the costs can be fully recovered under the owner’s insurance.
• To pay for any optional extras at the rate stated in the brochure or on the web-page.
• Tenants agree not to exceed the total number of persons in the property as stated in the details and on the booking form, or share the property, or part with possession of the property.
• Tenants agree to accept responsibility for safety of any pets. At no time should a pet be left alone unsupervised at the property. A charge will be made of £25.00 each per week with £25 deposit (or part there of) returnable once owners have confirmed the property is in good order.
• To allow the owner or his agent access to the property for purposes of repair or reasonable refurbishment.
• Show due regard for other tenants, when using sports or other equipment, musical instruments or electrical equipment and in the care of their children and/or pet.
• Respect access of other tenants, owners and their agents when parking cars.


OWNER OBLIGATIONS

• Should the property, for reasons beyond the control of the Owners (e.g. Fire, Theft, Sale etc) not be available on the date booked or the property is not available for holiday letting, all rent and any charges paid in full by the Applicant will be refunded in full. The Applicants will have no further claim against the Owner.
• The Owners accept no liability for any act, neglect or default on their part or any person not within their employ, or otherwise under their control, nor for any accident, damage, loss, injury, expense or inconvenience whether to person or property, which the Tenants or any persons may suffer or incur that arise out of the letting, or is in any way connected with the letting.
• The Owners cannot accept a change of holiday property or details to a booking once the deposit has been received. We can accept a change of holiday weeks, however this will need to be agreed with the owner with at least 2 weeks notice prior to commencement date, and is subject to there being availability. Where any changes are made a minimum administrative charge of £25 will be made. For example changes in party size or additional pet (NB 1 pet only per cottage).
• The Owners aim to ensure that any information provided is accurately conveyed in our literature and the website. There may be small differences as we are always improving our service and facilities. Any changes will be notified to you as soon reasonably practical . We cannot accept responsibility for any changes or claims to the area amenities mentioned in our information, website or by our staff.
• All complaints must be notified to the Owners immediately so that we can investigate the circumstances, and take any necessary action. In no circumstances can compensation be made for any complaints that are made after the tenancy has ended, or where the Tenant has denied the Owners the opportunity to try to put matters right during the tenants stay.


HOUSE-KEEPING

The cottage / camping barn summaries aim to give accurate descriptions of the properties. Should there be any specific health or mobility difficulties which may affect a party member, we request that this is pointed out at the earliest opportunity so the suitability of the property can be established. Access Statements are available from Mettaford Farm or on the web site.

Damage - Occasionally accidents do happen and any losses must be paid for. Properties are checked and cleaned before arrival but if you have any concerns please contact the Owner, whose details are on this website. Should you find on arrival any damage or non-working items it is important to notify the Owner immediately so that matters can be rectified.

We cannot accept responsibility for any items left behind in your accommodation after your holiday, and would advise you to contact us directly you become aware of this. The cost of posting and packaging will be required prior to the item being returned to you. Any unclaimed items will be disposed of after two weeks.

Our cottages are all barn conversions and were built without benefit of modern techniques. This makes them unique, but they may be subject to slight dampness in long wet periods, we endeavour to ensure that all actions are taken to keep this to a minimum.

We do not permit Pushbike-riding, skate boarding or roller blading within the complex for health and safety reasons.

For Health & Safety and Insurance purposes we are not able to accommodate individuals who are not named on the booking form for extended periods through-out the day, or night.
The on-site facilities are for the exclusive use of our guests. Please book your holiday with this in mind.

We operate a recycling policy in line with our local District Council and would ask you to comply with this.

All buildings are NO SMOKING, but we do permit smoking in cottage gardens.

HARTLAND CAMPING BARN

The terms and conditions for Hartland Camping Barn are categorised within the Terms and Conditions for the Mettaford Farm Complex.

Where appropriate, each sleeping room is considered as a separate unit of accommodation, the named person for each family or group accepts responsibility for that party for the period of hire, of the room and all communal areas.
Stag nights/Hen nights/single sex groups: we would welcome the opportunity to discuss this type of hire BEFORE booking: the Camping Barn is part of a complex of other holiday accommodation, so conditions of hire would include the requirement to respect other users of Mettaford Farm.

Each individual tenant is responsible for their own well-being and belongings in shared areas of the barn.

The owners (Mettaford Farm) will undertake to ensure that all communal areas are regularly cleaned and all items are in good working order.
It remains the responsibilty of the tenants to respect other users of the Camping Barn and to ensure that all areas remain available for others to use at all times of the day.

THe owners, agents or employees of Mettaford Farm are not responsible for any damage or loss by theft, misuse or negligence, of any item or belonging of hirers of the Camping Barn.

PETS: We are unable to accommodate any pets where a part of a room or the barn is hired by an individual, family or group. Guide Dogs or Hearing Dogs: please advise us at time of booking if your party includes a working dog.
